02. Understanding the User Interface

To create a new user in the Setup Users click the Create User Button. The following screen will appear.

Exercise 1:

Step 1: Click on the Create User Button to open the new screen. Review the fields to get acquanted with the options available when setting up a user account.

Fill in each section with information regarding the User profile you are creating. Items marked with an * are required fields and must be filled in.

NET ID (External System external ID code) – needed if integrating with an external system. This is the number that is assigned by the external system to identify this user’s profile in that external system.

First Name (*required field) – Enter the User’s First Name

Middle Name – Enter the Users middle name or middle initial

Last Name – (*required field) – Enter the User’s Last

Name Email Id (*required field) – This is the user’s email address. This will be their login ID.

Role Type (*required field) – Select the user’s profile’s role type:

Dept. Admin - Has limited administrative rights within the scholarship application program to view, make changes, and delete items. Using the Control Mapping feature of the Administration Dashboard the Global Admin can assign specific section of the application for them to have access to.

Global Admin – Has full administrative rights within the CommunityForce application program to view, make changes, and delete items.

Global Reporting – Using the Control Mapping feature of the Administration Dashboard the Global Admin can assign specific sections of the application for them to have access to. (I.e. allow them to have access to view and edit specific forms or reports

Reviewer – Using the Control Mapping feature of the Administration Dashboard the Global Admin can assign specific section of the application for them to have access to. (I.e. allow them access to only evaluate applicants)

Dept. Reporting – Using the Control Mapping feature of the Administration Dashboard
the Global Admin can assign specific section of the application for them to have access to. (I.e. allow them to have access to view and edit specific forms or reports)

Applicant – Applicant profile has access to the Applicant Dashboard only

Type – Organization Code created in the Administration Dashboard/Site Settings. Used when creating profiles for external site integration, to identify profiles as members of that external site or non-members of that site.

Title (*required field) – Enter the user’s professional title, if applicable.

Department (*required field) – Enter the company that they work for, if applicable.

Work Phone – Enter the User’s contact phone number

Cell Phone – Enter the User’s cell phone number

Sponsoring Organization –If the role type is Dept. Admin or Dept. Reporting, a sponsoring organization value is necessary for proper access privileges. This will limit their access to other organizations application/fund information, only allowing access to their specific sponsoring organization.

Assign Password Manually?- select this box if you are going to create a password manually for the user, if not checked the system will generate a temporary password for the user. When you check this box, a field will open up to enter their Password. Type their password there. You will not be able to see this password or have access to any of the passwords listed in the data grid.

Save – Click save to save the information to the data grid below and remain on this page

Save & Exit – Click save & exit to save and exit this page and return to the Home Page.

Cancel – Click cancel to not save the information and cancel out what you have entered.

Exit – Click exit to return to the home page.

When a profile is created by the administrator an email is sent to the user notifying them that the profile was created. (See Notification Center – Email Template: Password: New Account Confirmation). *****It is important to edit this template before setting up your Users*****
